Using this portal

1. What it is for

The portal is here to help parents and guardians:

• Keep up with training sessions and matches
• Talk to coaches and club staff
• Handle payments and registrations
• Get at club information and documents
• Follow their own child’s football

2. Your account

You must:

• Keep your login details to yourself
• Never share your password with anybody
• Log out after using a shared device
• Tell the club straight away if you think somebody else has been in your account

You must not:

• Share your login with other parents
• Let children use your parent account
• Use somebody else’s login

3. Messages

When you use the portal’s messaging:

• Be civil, including when you are annoyed
• Keep it to football and club business
• Allow a day or two for a reply to anything that is not urgent (these are volunteers)

What is not allowed:

• Abusive, threatening or inappropriate language
• Discussion of other people’s children
• Personal disputes
• Advertising and promotion

4. Information and privacy

What you can see:

• Your child. Training attendance, matches, team selections and what you owe.
• Club communication. Schedules, match details, announcements and notices.
• Your own account. Contact details, payment history and consent records.

What you agree to:

• Only look at information about your own child
• Never pass on another child’s information
• Use what you see here for football, and nothing else

5. What the portal does

• Calendar. Training, matches and club events, and the place to answer when you are asked whether you can make it.
• Payments. Subs, match fees and anything else the club charges for.
• Messaging. Reaching a coach about progress, an absence or a worry.
• Your child’s record. Attendance, match involvement and the coach’s feedback.
• Forms and consents. Registration, medical details and the permissions the club has to hold.

6. Safeguarding

• Never use the portal to contact somebody else’s child
• Raise any safeguarding worry properly and quickly (see below)
• Do not share inappropriate content or images
• Follow the club’s child protection policies

7. Fair use

You must use the portal to:

• Support your child’s football
• Deal properly with club staff
• Keep up with what the club is doing
• Get the paperwork done

You must not use the portal to:

• Harass, bully or intimidate anybody
• Spread things that are false or malicious
• Get at information that is not about your child
• Work around the club’s policies

8. What you need to run it

• A current browser: Chrome, Firefox, Safari or Edge
• Kept up to date, for your own security
• A working internet connection
• JavaScript switched on

9. If you are stuck

• Try the help section inside the portal
• Ask your child’s coach about anything football
• Ask the club secretary about anything administrative

10. If you break these rules

Depending on what happened, Pulford Pirates may warn you, suspend your access for a while, remove it permanently, or take the matter further under its own disciplinary procedures.

11. Changes to this policy

This policy is updated from time to time. Changes are announced through the portal, by email, or on the club’s website.

12. Using the portal at all

By using it you agree to these rules, and to keeping this a safe and decent place for every child and family at Pulford Pirates.
